SOPs and business process mapping

Agencies scale on repeatable delivery. I document how work gets done as visual process maps, then turn them into SOPs people can follow without being supervised.

From a tangle of steps to a documented process

A mind map shows how the parts of a process relate: what triggers what, who owns each step, and where checks belong. That makes it a fast way to capture a process with the people who actually do it, then turn it into a written SOP and a checklist.

I'm a certified mind mapping practitioner (MindMeister and Biggerplate), and I use the technique for the work agencies struggle to keep consistent:

  • Client onboarding and offboarding
  • Flow architecture and segmentation standards
  • Campaign QA and pre-send checklists
  • Account audits and handoffs between team members
  • Training material for new hires

Why mind maps work for SOPs

They structure information
However broad the subject, a map brings order and shows the bigger picture and how ideas relate.
They speed up brainstorming
Keywords and branches make it quick to capture ideas and spot the steps that are missing.
They make collaboration easy
Online maps let a distributed team build and review a process together, in real time.

I document onboarding and offboarding, and I design flow and segmentation strategy across a 55+ account portfolio so quality doesn't depend on who happens to be on the account.

Developing people

I manage four direct reports and deliver quarterly trainings, so the team's knowledge grows and doesn't sit in one person's head.

Technical depth, hands-on

When a campaign is blocked, I can get in and fix it: DNS and NS delegation, Google Postmaster, Shopify permissions, and migrations from ActiveCampaign, Mailchimp and HubSpot.

A/B testing programs and segmentation strategy across Shopify, BigCommerce, WooCommerce and Magento stores, with Klaviyo at Pro level.

AI and automation every day

I build internal automations in Make.com, Zapier and n8n, and write my own tools where off-the-shelf ones fall short (see below).

Klaviyo Flow Link Checker

Broken links in live flows quietly waste send volume. This tool pulls every live flow in a Klaviyo account, extracts each email's static links and verifies them. It flags broken links, soft 404s, redirects to the homepage, out-of-stock products, missing UTMs and off-domain landings, and it falls back to a real browser for sites behind Cloudflare.

Built with Python and the Klaviyo API. Runs as a hosted web app.
